When should you book your vendors?

January 26th, 2025

Booking your wedding vendors at the right time is essential to ensure you get the best options and pricing. Here’s a general timeline for when you should aim to book key wedding vendors:

12–18 Months Before Your Wedding:

  • Venue: Popular venues can get booked up well in advance, so securing your venue early is crucial.
  • Wedding Planner: If you're hiring a wedding planner, this is the time to secure them, especially if you want someone with experience or specific preferences.
  • Photographer and Videographer: These vendors are often in high demand, so booking early will help you secure someone you love.
  • Caterer (if not provided by the venue): If your venue doesn’t offer catering, start looking at caterers early to ensure availability.
  • Band/DJ: Popular musicians or DJs can get booked up quickly, so start contacting them early on.

9–12 Months Before Your Wedding:

  • Florist: Florists can be very busy during wedding season, especially for popular flower types. Lock in your florist about 9–12 months ahead.
  • Hair and Makeup Artist: If you're looking for a top-tier artist, booking early is a good idea to ensure they’re available.
  • Stationery/Invitations: Begin looking at design options for invitations and save-the-dates. Consider ordering your save-the-dates at this time if you’re sending them out early.
  • Bridal Shop: Start shopping for your wedding dress 9–12 months out to allow time for alterations.

6–9 Months Before Your Wedding:

  • Officiant: If you're hiring a professional officiant, this is a good time to book them, as they can fill up quickly.
  • Transportation: Book any necessary transportation for you and your guests, such as a limo, bus, or shuttle service.
  • Rentals: Depending on your venue, you may need to arrange for rentals like chairs, tables, linens, etc.
  • Cake Designer: Cake designers tend to book up early during peak wedding season, so it’s good to meet with them and book your cake.

3–6 Months Before Your Wedding:

  • Wedding Bands: If you're purchasing wedding bands, it's good to have this finalized 3–6 months out to allow time for any customizations.
  • Favors and Gifts: Start planning what to give your guests as favors and any gifts for your bridal party.

1–3 Months Before Your Wedding:

  • Final Details: Finalize your seating chart, details with vendors, and any last-minute orders.
  • Hair/Makeup Trials: Schedule hair and makeup trials to finalize your look.
  • Vendor Confirmations: Confirm all your bookings, including arrival times, and make any necessary final payments.

By following this general timeline, you’ll give yourself plenty of time to research, secure, and confirm your wedding vendors, reducing stress as your big day approaches.
